The information below has been compiled to assist you in the planning and presentation of your conference session or poster. Frequently Asked Questions

Answer: CLEAR is excited to welcome you as a first-time presenter! CLEAR stakeholders invest considerable time and expense to attend the conference. For these reasons, CLEAR works hard to ensure all conference sessions realize their full potential. Our attendees expect presenters to: 

  • be prepared  
  • have significant knowledge and expertise in the subject area 
  • effectively communicate 
  • engage the audience 
  • explain how lessons learned can be applied to different jurisdictions and professions 
  • not engage in commercial presentations of their organization 
Answer: Conference sessions are scheduled every day, Tuesday-Thursday (September 17-19, 2024). Sessions may begin as early as 8:00 a.m. and end as late as 5:15 p.m. 
Answer: While a request can be submitted and every effort will be made to accommodate, a requested day/time cannot be guaranteed. 
Answer: Session coordinators may select which session lengths for which they'd like the proposal to be considered; keep in mind that session length includes time for audience Q&A. The Program Committee will make the final decision on session lengths for each selected proposal. Most concurrent sessions are 60 minutes; the 2024 conference has one 90-minute block. 
Posters will be displayed for the duration of the conference; the "Poster Session," time for attendees to speak with and ask questions of the poster author(s) will be during an extended break on Wednesday, September 18.
Answer: No. While exhibitor and sponsor opportunities exist for those with services, programs or products, promotion of products or services are not acceptable proposal topics. It is strongly recommended that all vendor proposals include a regulatory body in the session. 

A: Session rooms will be set primarily theater-style with some options for roundtable seating. We do our best to accommodate the format requested at proposal submission or acceptance notification, but please note room sets are based on availability and a demonstrated need of the session.

All rooms will include a podium and a head table for presenters. Additionally, the following A/V equipment will be set in each room: 

  • (1) screen & (1) LCD projector
  • (1) computer at the podium
  • (1) presentation clicker (slide advancer)
  • (1) podium microphone 
  • (2) head table microphones
  • (1) audience microphone for Q&A

Additional A/V equipment may be provided based on session needs. 

CLEAR utilizes Sli.do for in-session audience polling. You can learn about Sli.do’s polling options here. Please let us know if you plan to utilize live audience polling during your session.

While some proposals were submitted as posters, the Annual Conference Program Subcommittees accept some session proposals as posters if the topic or content is pertinent to current regulatory trends or stakeholder interests. Posters allow attendees to experience additional content throughout the duration of the conference with dedicated time during the "Poster Session" to engage with and ask questions of the poster author(s).
CLEAR will provide a poster template (48x36 inches) for your use in developing your poster. We will have your poster printed and delivered to the conference venue at no cost to you. If you would like to take your poster with you after the conference, please provide your own poster tube.
Formats

Conference content is presented in one of three formats:

Theater: For presentation (lecture) or panel-style sessions.

Roundtable: For workshops or roundtable discussion style sessions.

Posters: Content presented via poster (authors will have the opportunity to interact with attendees during a scheduled "Poster Session").

Tracks

CLEAR's Annual Educational Conference is organized along four tracks of inquiry. Click the boxes below to learn more about each track.

Sessions that inform, educate, and inspire conference attendees to implement innovative solutions regarding legislation, policy, administrative leadership, and daily operations. Sessions that focus on operational efficiency, diversity, equity, inclusion, technology, cyber and physical security, updates to laws, governing policies and procedures, and media and stakeholder relations are in high demand. 



Sessions that educate in the professional discipline process and enhance knowledge and skills for better on-the-job performance by participants in the professional discipline process. The professional discipline process includes the entire process by which the state/province/government entity (1) receives information pertaining to possible violations of law by a member of a regulated group (or a person who purports to be a member of a regulated group), (2) investigates the information received, and (3) makes an appropriate case disposition.
Sessions that allow those involved in both the initial licensure/ registration / credentialing process and the continuing competence and professional development area to discuss the issues, trends, and challenges they face outside of the testing and examination realm. Topics may include defining competencies within a scope of practice, setting non-discriminitory standards of qualification (education, training, experience), implementing quality assurance mechanisms, establishing equivalencies, assessing practical experience, accrediting education providers, exploring artificial barriers to practice, labor mobility (national and international), appeals processes, when should the bar be raised or lowered, re-entry to practice scenarios, etc.
Sessions designed to inform, provoke discussion, and explore new topics related to all aspects of certification and licensing examinations. These topics may include such items as: job analysis, test development and validation, standard setting, test administration, scoring and analysis, score reporting, and examination challenges/defense.












Definitions

Coordinator: Person who submits the proposal. Once the proposal is accepted, the coordinator is the primary contact for CLEAR staff unless otherwise notified and is responsible for: ensuring revisions per the program committee/subcommittee recommendations are implemented; enlisting session (co)presenters; enlisting a session moderator (introduces session & speakers). A coordinator can be speaker or moderator, but not both. (Coordinator Responsibilities

Moderator*: Person who introduces the session and speaker(s) and facilitates the session. A moderator can be coordinator but not a speaker. (Moderator Responsibilities)

Speaker/Presenter: Person who presents the materials at the conference. Speakers can be a coordinator but cannot be a moderator.

Author: Person who contributed to the development of a poster. Not all authors are required to attend the conference, however at least one should plan to attend to participate in Q&A with attendees during the Poster Session.

*If you are unable to locate a moderator for your session, the Annual Conference Program Committee will assist in determining a suitable candidate.

Additional Resources

Speaker Funding: All conference presenters (including coordinators, moderators, and poster authors) who are not CLEAR members are eligible to apply for Speaker Funding to offset the cost of conference attendance. The application link is available via your speaker portal. Applications are due May, 2025.
